This document describes how SCAN2LOG works today. It is informational, is not legal advice, and will be reviewed by a qualified professional before public commercial launch.
Overview
SCAN2LOG helps you build a digital history of your vehicles from documents you upload. This policy explains what we store, why we store it and what control you have. It only describes functionality the application actually provides today.
Account information
When you create an account we store your email address, the login credentials handled by our authentication platform, your name if you enter it, and your interface language preference. We do not sell your data and we do not use it for advertising.
Vehicle information
For each vehicle we store what you enter or confirm: make, model, model year, VIN, registration number, mileage readings, specifications, market and purchase details. VIN and registration number are visible only to your account and are not included in shared reports or AI requests.
Service, workshop and invoice history
Service records store dates, mileage, categories, descriptions, workshop names, invoice numbers, amounts and currencies as documented. Amounts stay in their original currency and are never silently converted.
Uploaded documents
Invoices, service records and other documents you upload can contain personal information about you or third parties. Only upload documents you are authorised to provide. Documents are kept in private storage that requires an authenticated, authorised request and are never published by us. No online service can promise absolute security, so we describe our protections rather than guarantee them.
AI-assisted extraction and analysis
You can submit documents for AI-assisted extraction and request AI summaries of your own recorded history. For that purpose the relevant document content and record data are sent to our AI gateway provider. AI output can be incomplete or wrong: extracted values are proposals you review and confirm, and the system is designed not to invent information that is not in your records. AI analysis is informational and is not professional mechanical, legal, financial, insurance or valuation advice.
Vehicle sharing and QR links
You can voluntarily create a read-only share link, which can also be shown as a QR code, for a single vehicle. A share contains only the limited vehicle and history information the sharing function is designed to disclose; it does not include your VIN, registration number, account identity, email address or internal identifiers. Anyone holding the link can open it and could copy or forward it, so share it only with people you trust. You can revoke a link at any time, which stops further access.
Data export
You can export your stored SCAN2LOG data as a downloadable archive with your records in a machine-readable file plus your uploaded documents, within a size limit. The export reflects what the current implementation includes and may not contain every internal or technical record.
Account deletion
You can delete your account in Settings. Deletion uses a two-step confirmation and requires typing DELETE. Once confirmed, your vehicles, records, documents and profile are permanently removed and cannot be recovered.
Usage and technical information
To keep the service available and prevent abuse we record a minimal count of AI requests per account with a timestamp, plus the standard technical information needed to operate and secure the service. This information is tied to your account and is not readable by other users.
Third-party services
The service runs on our hosting and backend platform, which provides authentication, database and file storage, and it uses an AI gateway provider to process AI requests. We do not currently use advertising networks, analytics trackers, payment processors, market-data providers or vehicle telematics providers.
Data retention
We keep your data while your account is active and as long as needed to provide the service or meet legal obligations. Exact retention periods are not yet defined and must be finalised before public launch.
Your rights
Depending on where you live you may have rights to access, correct, export or delete your data, to restrict or object to processing, and to complain to a supervisory authority. Export and deletion are available directly in the app; for anything else contact us. Because SCAN2LOG can be used in the EU we aim to follow GDPR principles such as data minimisation and purpose limitation. The existence of this page is not in itself a statement of legal compliance.
Changes to this policy
We will update this page when the service changes. Material changes will be reflected in the date at the top of the page.
